Overview

The Administrative Services Coordinator I will fulfill a supportive role in the operations of the department. The incumbent will assist and support the Administrative Services Coordinator II (Staffing and Office Coordinator) with the coordination and completion of administrative duties in the school setting and will complete duties as prioritized in coordination with the supervisor. This position is expected to maintain accuracy and ensure confidentiality of all student, financial, and personnel information they are able to access.

Responsibilities

  1. Maintain the UKG staff payroll system in an accurate and timely manner. Send daily e-mails of staff who are out or late. Keep and maintain files of all timekeeping-related documents, including Schedule Modification Forms, submitted medical documentation, and bi-weekly weekend hours required to close.
  2. Provide administrative support to the Administrative Coordinator II and school administrators with daily responsibilities to include, but not limited to, typing reports and correspondence, copying, scheduling meetings, and taking minutes at meetings as needed.
  3. Maintain files of all fingerprint applications and clearance letters from CJIS. Notify supervisors of discrepancies/concerns with clearance letters. Track fingerprinting in the Power School database.
  4. Assist in maintaining files on all Classroom Assistants to include transcripts, test scores, paraprofessional staff development plans, and correspondence. Track information in the Power School database.
  5. Maintain MSDE teacher and Social Worker certification files. Review to ensure all certifications are current and accurate. Maintain records in Power School.
  6. Maintain licensure files for all related service personnel. Ensure that all licenses on file are current. Maintain records in Power School.
  7. Provide administrative support to the Parent Association, as needed.
  8. Complete MSDE spreadsheets as required.

Qualifications

EDUCATION:

  • High School diploma, GED, or equivalent required.
  • Associate’s degree preferred.

 

EXPERIENCE:

  • Minimum two years of previous administrative experience is required.
