The Switchboard Operator (Receptionist) is responsible for answering and directing incoming calls on the Institute’s main switchboard, including the TTY, 800 numbers, and international calls, in a courteous and professional manner. The incumbent will provide clerical/receptionist support to the department and will be a key point of contact for external and internal customers.
1. Responsible for operating a 12-extension phone system to include, answering and directing all incoming calls appropriately and to the correct destination.
2. Responsible for retrieving messages in the mornings and transferring calls to the answering service system (MAP Communications) after business hours.
3. Responsible for timely message and e-mail follow-up in addition to appropriate sorting/distribution of mail items.
4. Provide excellent customer service support to patients/students, their families, staff, visitors and vendors to include; supplying/taking information, giving directions, greeting visitors, determining the nature of visits, confirming visitor arrival, and controlling access to the facility.
5. Provide a variety of routine administrative support to the department to include data entry and managing the switchboard calendar.
6. Work collaboratively within the Switchboard Operator team and provide coverage/support.
QUALIFICATIONS:
• Must be able to use switchboard equipment, personal computer and other related hardware.
• Must be proficient with MS Office Suite including Word, PowerPoint, Excel and Access.
EDUCATION:
High School Graduate or GED required.
EXPERIENCE:
• Two years of experience as an operator on a multiple line or main switchboard system.
• One year of administrative or clerical experience, preferably in a health care setting preferred.
