Overview

The Administrative Services Coordinator I provides administrative support to the Assistant Vice President and MCDD Director, Associate Director, Director of Training, Program Coordinators, staff, and the Chair of the Community Advisory Council (CAC), and is responsible for the office management of the department. This position provides administrative support to the AVP and MCDD Director in all matters, with specific attention to the CAC.

Responsibilities

1.  Provides overall and administrative support for the department, including: answering and triagingnphone calls, typing, mail pick-up and delivery, filing, requests for new equipment or equipment maintenance, ordering and shopping for supplies, preparation for special events and travel (e.g., conference registration, hotels, and flights) and meetings.
2. Provides administrative support to the CAC, including: scheduling meetings/rooms, disseminating the agenda and minutes approved by the CAC chair, arranging reliable and accessible transportation (if needed), and communicating with CAC members, Kennedy Krieger Institute clinical departments and programs, and outside agencies.
3. Prepares purchase orders, conference requests, and invoices for the department in the Procurement Purchasing system, including creating and maintaining databases and paperwork for Accounts Payable and Finance.
4. Prepares correspondence, special projects, reports, grants, and PowerPoint presentations.
5. Tracks time and attendance and records of departmental leave requests with the KRONOS system.
6. Assists Director with preparation of Human Resources documents for approval (e.g., independent contractor agreements and personal services agreements).
7. Supports data manager in grant reporting data entry as needed in Apricot and National Information Reporting System (NIRS) data.
8. Maintains and schedules appointments for the Director.
9. Provides administrative coordination throughout the whole cycle of pre-service and community trainings from development of protocols/processes to training setup/breakdown, including but not limited to: monitoring online registration, scheduling events via the Institute calendar system (Localist), assistance with on-site sign-ins and virtual attendance record keeping, administrative support, purchasing supplies, scheduling and coordination of meetings and conferences, and printing and disseminating certificates.
10. Supports Project HEAL attorneys as needed with pending intakes.
11. Assists MCDD faculty and staff members in the development of papers, presentation, and other disseminated products.
12. Supports People On the Go Maryland (POG) director and program coordinator as needed, in addition to Resource Finder staff in times of absence.

Qualifications

EDUCATION:
High School Diploma or GED is required.


EXPERIENCE:
Two years administrative experience is required, preferably in a health care setting.


KNOWLEDGE/SKILLS/ABILITIES:
Must be proficient with MS Office suite, including Word, Excel, Access and PowerPoint.

Minimum pay range

USD $39,747.76/Yr.

Maximum pay range

USD $65,065.73/Yr.
