Overview

The Project Coordinator will facilitate network collaborations in rehab between multiple hospitals. The incumbent will work with supervisor and the Project Manager to create and innovate new processes that help streamline and modernize workflows.

Responsibilities

  1. Report on, recommend, and implement approved changes to department and network processes, work flows, record keeping, and areas of deficiency.
  2. Collect and organize data for reports and surveys. Assist network sites with collecting data from their sites and compile data from across sites. Disseminate and track both site and network metrics and generate related reports.
  3. Establish and manage the start-up network specialty groups under guidance of supervisor.
  4. Coordinate internal and external meetings, teleconferences, appointments, seminars, and meetings as requested by supervisor. Create and distribute meeting minutes and follow up on directed topics between meetings.
  5. Oversee the daily planning, management and monitoring of provider/team meetings. Address scheduling needs, answer team questions related to the rehab program and network, resolve administrative or operational issues for clinical staff, and ensure an efficient and smooth team interaction.
  6. Collaborate with clinicians and support staff to grow the patient population served and improve the efficiency of clinic operations.
  7. Inform necessary clinic staff of assignments, scheduling changes, and matters relating to efficient operations.
  8. Serve as a resource for knowledge, organization, and problem-solving for the multitude of teams organized by supervisor.
  9. Coordinate details for recruitment visits including, but not limited to, meetings and lodging for new recruits. Help organize and complete tasks related to onboarding.
  10. Process program invoice payments as well as staff/trainee financial reimbursements.
  11. Work with the supervisor to develop a plan for addressing new needs that arise. Perform all functions, requested by superiors, to support supervisor.
  12. Maintain web page on Institute website by updating and revising individual pages as directed by supervisor to ensure that the most up-to-date information is available for patients, researchers, and potential recruits.
  13. Develop and maintain comprehensive policies and procedures for the responsibilities of the position in collaboration with supervisor and Project Manager.
  14. Procure program supplies and software at the request of supervisor.

Qualifications

EDUCATION:

Bachelor’s degree required.

 

EXPERIENCE:

  • Minimum of 5 years of related experience required.
  • Experience with healthcare coordination preferred.

 

KNOWLEDGE/SKILLS/ABILITIES:

  • Must have, or be able to learn, basic computer skills including Microsoft Office (particularly Outlook, Excel, and Teams), SPSS, and RedCap.
