Overview

the Scheduler II will perform front end clinical operations activities which include, but are not limited to: scheduling, registration, cashiering and charge entry. This person will work directly with providers schedule and troubleshoot various Care Center issues. The incumbent will interact with patients, families, clinicians, and administrative staff in a courteous and professional manner, while placing an emphasis on adhering to high standards of customer service.

Responsibilities

  1. Operates all systems of the Care Center and performs each duty in an efficient, accurate and productive manner.
  2. Track all new and returning patients  and families, and provide follow-up using the scheduling system and working with providers and clinic administrative assistants to ensure proper scheduling related to the patient’s needs.
  3. Maintain provider schedules for completeness and keep them aware of changes.
  4. Respond to family, patient, co-workers and other KKI partners regarding clinic issues in a timely and professional manner.
  5. Responsible for the accurate and timely accounting of all collected cash and payments at the Care Center. Any discrepancies are to be identified and immediately communicated to the supervisor.
  6. Enter complete and accurate information into the registration, scheduling and charge entry system.
  7. Collect all superbills generated for the clinic on a daily basis and check for quality assurance, maintain a log of errors to be discussed with staff and reported to the Supervisor.
  8. Track, collect and process quality improvement and patient tracking data.
  9. Maintain and update the various databases used including; SIMS, ACCESS and EXCEL.
  10. Maintain updated general understanding of insurance requirements as they relate to the collection of accurate information at the Care Center and allowing the ability to assess system information from Care Management Office (CMO), such as information related to    insurance authorization for patient services.
  11. Obtain all necessary and required signatures for all clinical and financial documentation.
  12. Provide accurate and timely follow-up appointments for patients.

Qualifications

 

EDUCATION:

  • High School Diploma or GED required.
  • AA degree in human services related field or healthcare administration highly desirable.

 

EXPERIENCE:

2 years of related experience coordinating and operating patient services required.
