  • Overview

    the Clinical Services Coordinator II will work directly with NBU Program faculty and staff to meet needs of patients and families within the NBU clinical programs. This staff member will provide administrative support for the NBU Program and serve as liaison for NBU faculty/staff, KKI staff,  and patients/families.

    Responsibilities

    1. Provide administrative support to the clinicians in the NBU Programs. This includes but not limited to creating/updating forms, typing, proofing, scanning, copying, reports, grants, and article submissions
    2. Manage and update clinical and administrative databases. Generate weekly reports for CARF, home and school visits, follow up services, day treatment books, transfer summaries, and behavior plans. Notify Directors of outstanding documents.
    3. Manage quarterly evaluations for CS/BDS staff and practicum students.
    4. Create admission, transfer, and follow up folders.
    5. Answer phones and retrieve messages from NBU call out number and disseminate to supervisors.
    6. Call patients/families to schedule follow-up clinic appointments for therapists. Schedule interviews for NBU Program supervisors. Schedule clinic interviews, in-services, and team meetings.
    7. Attend and participate in team meetings. Maintain reciprocal flow of information between clinical programs, including Psychiatry and NBU Outpatient Clinics.
    8. Attend rounds and summarize patient progress. Assist with EHR entry of patient progress notes.
    9. Manage requests for leave, and faculty and staff calendar
    10. Manage follow up, interview, and clinic calendars.
    11. Order lunches, office supplies, coffee, clinical materials; maintain storage.
    12. Arrange conference travel for faculty, staff, and trainees.

     

    Qualifications

    EDUCATION:

    • High School diploma or equivalent required.

     

    EXPERIENCE:

    • Two years previous administrative support experience required, preferably in medical office/clinic setting.
    • Previous experience working with database software required.
