  • Overview

    The Administrative Services Coordinator II (Fellowship Coordinator) directly supports the International Center for Spinal Cord Injury. This involves, but is not limited to administrative operations, procedures and clerical functions to ensure efficient and effective operation of the International Center for Spinal Cord Injury.


    1. Perform all administrative duties for the Director of Spinal Cord Injury Medicine (SCIM) Fellowship Training, Medical Director of Aquatics, and the ICSCI Nurse Practitioner. Administrative duties include but are not limited to preparing weekly calendars, coordinating reimbursements and check requisitions, maintaining confidential files, scheduling appointments, making travel arrangements, distributing mail and faxes, monitoring licensure, pertinent membership renewals, professional/medical subscriptions, and composing letters/memos/other documents. Provides limited administrative support to medical and research trainees, when applicable.
    2. Ensure that new patient charts and previous medical notes are delivered to providers before clinic(s).
    3. Provide limited administrative research support for the Director of the SCIM Fellowship Training Program, Medical Director of Aquatics, and the ICSCI Nurse Practitioner to include the coordination, implementation, and finalizing presentations/lectures for various annual conferences. Coordinate manuscript/chapter submissions and research items (articles, books, etc.) utilizing Internet searches, the Welch Library, PubMed, Research Gate, etc. as necessary.
    4. Coordinate annual recruitment of the SCIM fellowship. Maintain the fellowship program’s visibility nationally by designing and updating program materials and websites.
    5. Assist with the administration of the Accreditation Council for Graduate Medical Education (ACGME) compliance.
    6. Act as a liaison to other Hospitals, internal departments, and divisions regarding fellowship program. Update fellows’ status on the American Board of Physical Medicine & Rehabilitation (ABPM&R).
    7. Facilitate SCIM fellow credentialing process with Johns Hopkins University School of Medicine (JHUSOM), Johns Hopkins Hospital (JHH) Medical Staff Office and KKI.
    8. Coordinate and process on-boarding paperwork and rotation schedules (weekly, monthly and annually) for SCIM fellow, medical students, residents, trainees, and volunteers for the department’s medical and research programs. Provide reports on schedules.
    9. Plan and arrange training program-related events including fellow orientation and graduation, didactic conferences, and other medical lectures and related materials. Coordinate departmental Continuing Medical Education (CME) paperwork and tracking for these events.
    10. Coordinate trainee portfolio/personnel files, including: evaluations, tracking data, case logs and implements the evaluative processes of the trainees, program, faculty, and rotations.
    11. Compose and types letters of recommendation for all graduates of the SCIM training program. Complete paperwork required for state medical licensure for all SCIM graduates, verify KKI training years and trainee status, maintain complete, accurate and updated files on all graduates.




    • High School Diploma or GED required.
    • Associates Degree or BA in Business, Secretarial Science, or the equivalent of education preferred.



    • A minimum of four years of administrative support or other relevant experience required.
    • Experience in a healthcare, clinical setting is preferred.
