    the Administrative Assistant is responsible for supporting a specific manager or a department with clerical/administrative office work which may include but is not limited to basic word processing; proofreading; sorting; data entry; data collection and organization for review, use, consideration, analysis, and manipulation by departmental leadership or others.  The Incumbent may provide assistance with scheduling meetings, arranging or confirming appointments, managing calendars and similar activities.   

    Responsibilities

    1. Answer the telephone, screen calls, take messages, and relay information within scope of authority.
    2. Provide clerical assistance as needed to Special Events team to include but not limited to drafting, typing, editing, and proofing a variety of materials (i.e., correspondence, memos, reports, charts, etc.). Perform mail merges; make copies; send/receive faxes; and collate/assemble materials.
    3. Coordinate and maintain an effective filing system and efficient filing process.
    4. Order and organize supplies and equipment as necessary, process all work requests, and act as a liaison for the Office of Philanthropy.
    5. Prepare and process check requisitions and expense reports. Update, maintain and run ad-hoc budget reports
    6. Assist the Special Events team with identifying and contacting new donor prospects that may lead to the solicitation of in-kind donations for various special events (i.e., Festival of Trees (FOT) Silent Auction and volunteer/staff meals, etc.) through written correspondence and telephone communication. Support the maintenance of the database(s) with entering and updating donor prospect information.
    7. Assist with the recruitment of FOT volunteers (internal and external) and liaise with that group and members of the Specialist Events team. Responsibilities include but are not limited to responding to questions and concerns; taking/relaying messages; assisting with logistics; and helping with the maintenance of the volunteer database.
    8. Update, maintain, and run regular Raiser’s Edge and Convio reports for use in solicitation & invitation lists and special event check-in/ticket sales reports.
    9. Under the supervision of the appropriate fundraiser, send letters of acknowledgment for donations received.
    10. Coordinate Special Events team schedules and appointments. Schedule meetings and conferences with staff, volunteers, visitors, etc.

     

    Qualifications

    QUALIFICATIONS:

    • Fluency using Raisers Edge, Convio, InfoView Reports 
    • Must be proficient with Microsoft Office applications including; Outlook, Word, Excel, Access etc.

    EDUCATION:

    • High School diploma or GED required.
    • Associates Degree is preferred.

     

    EXPERIENCE:

    This is an entry-level position; however secretarial or professional office experience is preferred.
