The Care Center Specialist I performs front end clinical operation activities which include, but are not limited to:  scheduling, registration, cashiering, charge entry, and routine financial counseling activities.  The Care Center Specialist I will interact with patients, families, clinicians, and administrative staff in a courteous and professional manner.  Emphasis is placed on adhering to high standards of customer service.  Job functions and activities are periodically measured for adherence to quality and competency standards.

Responsibilities

  1. Operates all systems of the Care Center and performs each and any duty in an efficient and productive manner.  Maintains continued patient flow while still completing all tasks and duties accurately. 
  2. Responsible for the accurate and timely accounting for all collected cash and payments at the Care Center.  Any discrepancies are to be identified and immediately communicated to the Team Leader.                     
  3. Ensures complete and accurate information is entered into the registration, and charge entry system.  Collaboration and timely communication with CMO when issues arise.
  4. Obtains all necessary and required signatures for any and all clinical and financial documentation.
  5. Provides accurate and timely follow-up appointments for patients and communicate with clinician when changes are needed to weekly schedule.
  6. Accesses system information from the Care Management Office (CMO), such as information related to insurance authorization for patient services.  Maintains an updated general understanding of basic insurance requirements as they relate to the collection of accurate information at the Care Center.
  7. Understanding all the basic business requirements of designated clinic(s) serves as a liaison between it, the Care Center, the CMO, and customers. 
  8. Attends monthly Social Work Mental Health Administrative meetings, and meets with designated social work staff when requested to provide input necessary for systems efficiency, improvement, and development.
  9. Responsible for obtaining/tracking OMS and concurrent treatment plans from clinicians and  submitting  to Value Options in a timely fashion.
  10. Assist Administrative Manager with reviewing reports related to collections and balances while keeping Manager informed of any discrepancies.
  11. Assist Administrative Manager with administrative duties as needed.

Qualifications

EDUCATION:

  • High School diploma or equivalent is required.  Associates degree or Bachelor’s degree in Human Services related field or health care administration preferred.

EXPERIENCE:

  • At least one year experience coordinating and operating patient services systems.  Experience with computer based registration, scheduling and charge entry systems.
