The Administrative Assistant supports Therapeutic Foster Care (TFC) by performing general office duties, including administrative staff support,  daily phone coverage, and mail pick-up and delivery. The Administrative Assistant will collaborate with the Therapeutic Foster Care program Director to provide database administration and maintenance, manage client information, and assist with special projects when needed.


  1. Provides daily administrative support to the Therapeutic Foster Care program. Duties include typing, copying, faxing and filing. Will screen and direct phone calls for the TFC main telephone line and distribute incoming and send outgoing mail for program staff.
  2. Maintains TFC client information by setting up placement folders, requesting and tracking required documentation per COMAR regulations, and closing discharged client files.
  3. Manages multiple aspects of quarterly ISP meetings for TFC program clients. Schedules meeting dates, drafts and mails notification letters, and prepares program packets and distributes respite information.  Generates and mails letters to notify DSS of client relocation. Tracks ISP meeting information including the completion and submission of ISP reports. 
  4. Collects, copies, files, distributes, and documents submitted TFC Incident Reports per DHR, OHCQ, and MDLC regulations. Assists with Program reviews and audits in preparation for site visits, performance improvement, and licensing reviews.
  5. Maintains adequate levels of office supplies and food for the program.
  6. Enters intake and placement data into relevant databases when required.
  7. Prepares for meetings, duties include reserving rooms, ordering food, room set-up and clean-up as requested.
  8. Completes foster parent payments, invoices, and staff reimbursements as requested.
  9. Serves as back-up to other administrative professional staff as needed.





  • Familiarity with MS Office Suite, including Excel and Word.
  • Must have professional experience working with people with diverse nationalities, ethnicities, interests, and socioeconomic backgrounds.
  • Must be able to travel to and from different locations and sites in the greater Baltimore area.



  • High School Diploma or equivalent required.


  • Entry level position; however previous experience (professional or internship) that is relevant to the technical and administrative aspects of the position, such as filing, organizing, and office support skills preferred.
