The Clinical Services  Coordinator I completes day-to-day office functions; schedules, registers, and checks out patients; confirms patient appointments;  and notifies senior level clinical and office staff of potential problems and assists in addressing problems, as requested.

Responsibilities

  1. Complete and track day-to-day office operations, primarily at one site (inpatient or outpatient). 
  2. Schedule patients for Audiology, Speech-Language, or Assistive Technology evaluation and treatment appointments.  Verify that patients have been cleared financially, prior to their appointments. 
  3. Make confirmation calls to patients/families, where the automated service has not made direct contact. 
  4. Maintain and review clinical evaluation and treatment waiting lists.  Handle follow-up databases, as requested by clinical staff.
  5. Schedule outpatient clinical appointments, as specified. 
  6. Complete patient registration and check-out process for Audiology, Speech-Language, Assistive Technology, and other outpatient appointments assigned to the Communication Sciences and Disorders Care Center.  Registration process includes: registering patients on arrival, preparing billing paperwork, and notifying clinicians of patient arrival.  Checkout process includes: processing completed charge tickets, collecting any payments due, scheduling future appointments with our departments or others at KKI, and enters charges.
  7. Prepare and track paperwork for complex patient appointments (e.g., sedated Auditory Evoked Potential testing, augmentative-alternative communication equipment ordering).
  8. Assist clinical staff in preparing materials for patients.
  9. Notify managers of situations needing their attention and assist in addressing concerns, as requested.

Qualifications

EDUCATION:

  • Must have a high school diploma or GED equivalency, with courses in typing and other secretarial skills.

EXPERIENCE:

  • At least three years of secretarial experience, preferably with some in a health care setting where scheduling appointments and interacting with patients and families was a requirement.
